Senior Administative Assistant

ONE Campaign is a global non-profit organization that seeks to raise public awareness about the issues of global poverty, hunger, disease and efforts to fight such problems in developing countries.  ONE Campaign is dedicated to helping Africa beat AIDS and in facilitating the achievement of the Millennium Development Goals (MDGs).  ONE has offices in Washington, DC, London, Berlin Brussels and Abuja.

The Senior Administrative Assistant will be responsible for providing high-level administrative and project support to two team directors.  This position will work closely with other members of the teams.  The Senior Administrative Assistant is also expected to perform a wide variety of administrative support duties under the direction of ONE's Office Manager, as needed.  This position is based in our Washington DC office.

PRINCIPAL DUTIES AND RESPONSIBILITIES (80% of time)

  • Maintain accurate and detailed calendars for the directors
  • Organize internal and external meetings, including notifying attendees, reserving conference rooms, handling logistics, drafting and distributing agendas, and taking minutes, as needed; collaborate with other administrative assistants to successfully coordinate schedules across teams
  • Handle all travel arrangements and reservations
  • Receive and distribute incoming mail; review and evaluate mail to identify those items requiring priority attention
  • Track and reconcile monthly credit card statements in a timely manner
  • Complete and submit expense reports in a timely manner
  • Create documents, spreadsheets, and/or databases as required by directors
  • Independently respond to letters and general correspondence of a routine nature
  • Screen telephone and written communications to the directors and provide assistance using independent judgment to determine those requiring priority attention
  • Attend and contribute to team meetings
  • Prioritize and carry out complex administrative duties and/or projects as required by the directors

ADDITIONAL DUTIES AND RESPONSIBILITIES (20% of time)

  • Under the direction of the Office Manager, will provide general office support such as, backing up receptionist, assisting with organization-wide meetings and events (annual retreat, board books, mass mailings, etc.), and helping other administrative assistants with large projects
  • Serve as liaison between teams and ONE's Operations team
  • Attend and contribute to bi-weekly admin meetings

KNOWLEDGE/SKILLS REQUIRED

  • Bachelor's degree and at least 2 years of office experience
  • Demonstrated experience providing administrative support to senior management staff
  • Excellent oral and written communication skills
  • Superb professionalism and diplomacy; ability to interact with high-level individuals
  • Outstanding interpersonal and telephone mannerisms
  • Proficiency in Microsoft Office software, in particular Word, Excel and Outlook
  • Experience making business travel arrangements, both domestic and international
  • Strong organizational skills and attention to detail
  • Proven ability to exercise good judgment on a consistent basis
  • Ability to multitask and prioritize a number of projects
  • Ability to work in a fast-paced, entrepreneurial - and sometimes unpredictable - environment
